Under the supervision of the Sr. Director of Operations of Milestone Technologies, the Project Coordinator is responsible for operational project deliverables, as well as assisting and providing support to the Sr. Director of Operations.

  • Assist with communications and onboarding needs
  • Process vendor cost reports on monthly basis
  • Process weekly/monthly recaps, track/audit new incoming PO’s
  • Vendor management, Contract Negotiations, billing, time card support
  • Resource management/ICIMS for additional resources as requested
  • Field Glass support:
    • SOW drafting/approvals
    • C-Worker Renewals
  • Project resource coordination/scheduling as needed
  • Maintain filing systems and document repositories
  • Assist with internal and external onboarding of new team members
  • Provide analytical support including analysis & graphical representation of data using MS Excel, including assisting with MBR/QBR reporting
  • Establishes and maintains effective working relationships with customers, other departments and agencies, and others contacted in course of work
  • Attend departmental and inter-departmental meetings (as required) to coordinate quality and efficiency of data, reporting and operational needs
  • Maintains log for expenses and tracks revenues for monthly reconciliations.
  • 3rd party scheduling support
  • Performs other related duties as assigned
  • Coordinate travel and expenses
  • Assist in development and maintenance of training courses, materials, best practices and methodologies
  • Collects receipts and reconciles expenses, prepares expense reports/review staff expense reports
  • Assists with creating P&L statements and prepares financial reports as needed
  • Coordinates meetings and trainings:
  • Planning, scheduling and preparation – coordinate participants, scheduling/setting up conference room/facility/virtual location, and catering as requested
  • Creates, coordinates and distributes meeting/training invites, agenda and handouts
  • Other duties as requested by Management


Education and Experience:

High school diploma with two (2) years of experience with project and administrative related support and/or analysis, College Degree preferred.

  • Thorough knowledge of and proficiency in the use of all applications in MS-Office Suite programs
  • Strong organizational skills and ability to follow assigned projects through to completion
